Vail Vacation Rentals – Terms and Conditions

Reach Destinations terms and conditions for your vacation rental.  The terms and conditions are below your personalized information and signature.  Your signature is considered to be your acceptance and agreement.  Thank you.

CHECK-IN: 4 p.m. Mountain Time (any early Check-in must be pre-approved, in writing, by Reach Destinations)

CHECK-OUT: 11 a.m. Mountain Time (any late check-out must be pre-approved, in writing, by Reach Destinations) – Extra costs may be associated if staying past this time.

Smoking and Pets – NOT ALLOWED, NO EXCEPTIONS

Smoking is not permitted and pets are not allowed. Violation of this policy will result in additional charges to return the property to an allergy-free zone, including but not limited to; steam/dry cleaning all carpeting, area rugs, drapes, bedding and linens in the entire condominium.  We reserve the right to request that the pet be boarded immediately or the rental contract will be terminated.

DEPOSIT POLICIES

  • 50% of total rental cost is due at time of booking.
  • Balance of total rental cost is due 60 days prior to arrival.
  • Total rental costs are due in full upon booking of reservation within 60 days of arrival.
  • The same credit card will be used for the remaining balance unless you notify Reach Destinations otherwise (in writing).

ROOM ASSIGNMENT

At some properties in our portfolio, there is no guarantee which unit you will be assigned other than a guarantee of the size of the unit (bedrooms).  Please be sure to submit your requests, in writing, to us but realize that in some cases this can not be guaranteed.

SECURITY AND DAMAGE PROTECTION

We strongly believe that your vacation investment should be covered by travel insurance and offer Travel Insurance. Please notify us if you would like the details regarding travel insurance.

DAMAGE PROTECTION

For your visit, you must have damage protection – this is common now and you will experience this for almost all vacation rentals.  For your stay, a damage protection plan must be selected. Either a $70 non-refundable protection plan – this plan protects you from accidental damage within the unit (up to $3,000) or a refundable damage deposit of $3000 min (can be more depending on property).   You must notify Reach Destinations of any damage to the unit during your occupancy – do not worry if an accident happens – LET US KNOW IMMEDIATELY. Purchasing the plan in lieu of a Security Deposit does not negate your responsibility as a tenant. Any damages that exceed $3,000 will be charged to the credit card on file (unless you make other arrangements with us).  In the event that the credit card listed is declined, you agree to provide Reach Destinations with an immediate alternate form of payment.

HOUSEKEEPING

A housekeeping checkout fee (at minimum) is applied to every reservation. Why?  This fee is to clean the vacation property after departure and to return it to a ‘rental ready’ state (for the next guest). We would appreciate any help provided by the guest doing simple things like running the dishwasher and possibly starting the wash cycle for a load of towels prior to your exit.

During your stay, additional housekeeping may be requested at an additional fee, unless negotiated prior as part of the rental agreement with the property and Reach Destinations.  Touch-up cleans will include making beds, removing trash and light clean up. Mid-stay cleans will include changing sheets, towels, and clean-up.  Should you have a specific request, let us know and we can make arrangements.

SUPPLIES AND FURNISHINGS

Properties are fully furnished including bedding, pillows, towels, and equipped kitchen unless otherwise specified.  If there is a special type of item you are accustomed to using, please provide for those items by bringing them with you.  Feel free to ask us about anything that you may need and we will handle on a case-by-case basis.

INTERNET / TV SERVICE

Properties use one or a combination of the following vendors for Internet and/or Television services; Comcast, Century Link, Direct TV or Dish Network. As these are 3rd party vendors not part of Reach Destinations, we can make no guarantee that they will be working all the time especially given the mountain conditions. We make every effort to do what we can to make sure they are functioning. If there is an internet issue, you can contact our office during normal business hours, however this is NOT AN EMERGENCY situation. Additionally no refunds for the stay will be given due to one or more of these not working. If there is a technical issue with your personal equipment (computers, phones, iPad etc.), Reach Destinations can dispatch a technician with the cost, in full, to the renter.  This charge will be reviewed with you and billed to the credit card on file.  Reach Destinations does not provide technical support for devices that are not part of the home.

RISK AND LIABILITY

There are risks associated with the use of any property which may include but are not limited to risks of injury to person or property, or death especially in a high altitude location as this one with severe climates. Call Reach Destinations immediately if there is any matter about which you are uncertain or which you believe may present an unreasonable risk to you. Given the extreme winter conditions, risks around the properties may include; wet, slippery, or icy conditions both inside and out; falling snow or ice; being in proximity of, or use of, a swimming pool, bathtub or hot tub including without limitation risks of, drowning, heart attack, stroke or reactions to pool or cleaning chemicals; allergic or other reaction to cleaning or “freshening” products; allergic or other reaction to man-made and synthetic materials; actions of third parties not under the control of the property manager or unit owner; theft of, or damage to, personal property; electric shock or other injury in the use, or misuse, of any electric appliance or mechanical device; risk of injury in the use of garbage disposals, trash compactors, steam showers, saunas and other similar appliances. Renter and all persons in the rental group will assume all risk and liability. Renter agrees to the foregoing and waives all right to claim damages.

GUEST AGREEMENT

Reach Destinations provides or coordinates rental services on behalf of homeowners who rent their properties (including the associated fixtures and furnishings) to guests seeking accommodations on short or long term basis. We are the Owner’s authorized rentals agent and will perform services related to your reservation. By using the home and the services you agree to comply with and be legally bound to the terms and conditions of this agreement.

INDEMNITY

Neither Owner nor Reach Destinations assumes any liability for loss, theft, damage or injury to Guest, his/her guests or other occupants in the Home. The Guest, for himself/herself, his/her heirs, assigners, executors and administrators, fully releases and discharges Owner and Reach Destinations from any and all claims, demands and causes of action by reason of any injury or whatever nature which has or have occurred, or may occur to the Guest, his/her guests or other occupants of the Home as a result of, or in connection with the occupancy of the home and agrees to hold Owner and Reach Destinations free and harmless of any claim or suit arising therefrom. In any action concerning the rights, duties or liabilities of the parties to this Agreement, or their principals, agents, successors or assignees the prevailing party shall be entitled to recover reasonable attorney fees and costs.

CANCELLATION AND REFUND POLICIES

  • 2 nights stay plus 4% of the total is non-refundable at time of booking.  Cancellations must be made 60 days prior to arrival. A cancellation made after means you will forfeit your entire rental
  • Reservations canceled less than 60 days prior to arrival will be charged in full of the total and are 100% non-refundable.
  • Holiday bookings (which include Christmas, New Years, President’s week and Holy week) are 100% non-refundable in total at time of booking (50% deposit will be taken but total reservation is non-refundable).

We are unable to refund or pro-rate based on any issues or delays including but not limited to weather or health, however we do offer Travelers Insurance.
